Terms + Conditions

Acceptance of a proposal, quotation and/or issue of a purchase order from the client is acceptance and agreement of the Terms & Conditions stated below, which forms the contract between Beeston Media Ltd and the client.

1. Definitions

  • In these terms and conditions, the words "Company" “Our” and “We” refer to Beeston Media Ltd, a video production company based at 5A5 Hamilton House, 80 Stokes Croft, Bristol BS1 3QY.

  • "Client" refers to the individual or organisation who commissioned the Company's services.

  • "Project" refers to all photo, graphic, video and associated audio products created by the Company, including all moving and still images and sound recordings of whatever form commissioned by the Client, as defined in the agreed-upon brief.

  • "Deliverables" refers to the final video products and associated files provided by the Company to the Client, as specified in the brief.

  • "Brief" refers to the detailed document outlining the specific tasks, deliverables, timelines, and associated fees for the Project.

2. Costs

  • Costs associated with the project will be discussed during initial consultations/meetings with Beeston Media Ltd. The costs will depend on the type and length of the production, as well as the time spent on pre-production, production, and post-production

  • A written quotation must be agreed by both parties before any pre-production work begins. The quotation will detail the scope of work, deliverables, and any associated costs and timelines.

  • It is the Client’s responsibility to ensure that the quotation is thoroughly read and understood prior to booking.

  • Our costs allow for three rounds of Client feedback and amends, any amendments requested beyond the third round of feedback, changes to scope, additional deliverables or changes to timelines may be subject to additional costs and will only be undertaken once agreed upon by both parties.

  • Beeston Media Ltd requires Clients to pay 50% of the estimated project cost before any work can begin.

  • The remaining balance must be paid upon sign-off of final time-coded films. Once the invoice is paid, Beeston Media Ltd will deliver untime-coded final film files.

  • If work is paused on a project due to lack of Client feedback, materials or information, we reserve the right to charge an administration fee of up to 5% of the total project invoice for each month of delay beyond 3 months of the agreed schedule.

  • Our payment terms are strictly 30 days from the date of invoice and in the event of an order being confirmed the Client accepts these terms.

  • We reserved the right to charge further interest and late payment fees on all overdue invoices in accordance with UK legislation.

3. Client Responsibilities

  • The Client is responsible for providing accurate and timely information, materials, and feedback necessary for the Project, as outlined in the brief.

  • The Client must secure any necessary permissions or releases for copyrighted material or individuals featured in the videos.

  • If the Client’s requested revisions or delays in providing feedback or information cause the project timeline to extend beyond the agreed-upon schedule, we reserve the right to charge additional fees.

  • Clear access for video and sound capture shall be arranged and managed by the Client. If filming venues are being organised by the Client, it is the Client’s responsibility to ensure that our production crew and supporting personnel have clear access to all relevant locations required throughout the day. Delays in production as a result of inadequate access or facilities may incur additional charges.

4. Company Responsibilities

  • Beeston Media Ltd. will provide high-quality video production services in accordance with the agreed-upon brief, costs and timeline.

  • Beeston Media Ltd. will maintain the confidentiality of any sensitive information provided by the Client.


5. Intellectual Property

  • Upon full payment, the Client will own the final deliverables, as defined in the brief, for their intended use.

  • Beeston Media Ltd. retains the right to use excerpts of the work for promotional purposes unless otherwise agreed upon in writing.

6.1 Insurance

  • Beeston Media Ltd. carries public liability insurance cover of five million pounds. A copy of our insurance certificate can be provided on receipt of a request to our offices.

  • The Client is responsible for obtaining and maintaining their own insurance coverage for any property, equipment or personnel that is required for the project.

6.2 Drone Insurance

  • Beeston Media Ltd. carries public liability insurance cover of five million pounds for aerial operations and image capture. A copy of our insurance certificate can be provided on receipt of a request to our offices.

7. Health & Safety

  • Beeston Media Ltd. takes Health & Safety matters seriously and we reserve the right in all instances to remove any of our personnel and / or equipment from a location if we deem it to be unsafe or if our crew are subjected to abusive or aggressive behaviour. In such circumstances the Client will be fully liable for any costs incurred or subsequently arising as a result. The Company will observe the site safety rules at all times and will liaise with the appropriate contact outlined by the Client.

8. Adverse weather conditions

  • In the event of inclement weather which, in our opinion, would pose a risk to health and safety of our personnel or risk damage to our equipment or has the potential to prevent successful video or audio capture, we reserve the right to change the date or time of filming to a more suitable date or time.

9. Termination

  • Either party may terminate the agreement with written notice.

  • In case of termination, the Client will be responsible for fees or costs incurred for any agreed work completed up to that point.

10. Dispute Resolution

  • Any disputes will first be attempted to be resolved through good-faith negotiation. If unsuccessful, the parties may pursue mediation or arbitration in accordance with UK law.

By engaging the Beeston Media Ltd’s services, the Client agrees to these Terms & Conditions.
